WINDY GAP TRIP LEADER GUIDE SUMMER 2024

THANK YOU

Before we jump in, we want to pause and thank you. Thank you for showing up in the lives of hurting teenagers with the hope of the Gospel. Thank you for sharing the love of Jesus with them as you build friendships. Thank you for continuing to pursue them in the middle of chaos. The work is certainly not easy, but it is so important. We pray that your time at Windy Gap will be a breath of fresh air and will provide your friends with the opportunity to laugh, experience adventure, and hear the Greatest Story ever told.

This is a lot of information. However, we have worked hard to ensure that unnecessary information or to dos have been left out. Hopefully everything included here will keep you informed and make it as easy as possible to get to Windy Gap this summer.

LINENS

Bed linens and towels will be provided to all campers and leaders & beds will be made upon arrival.

TRAVEL

ARRIVAL: 3:00-5:00 PM EST on Sunday

We ask that all trip leaders call the Windy Gap office by 1:30 PM to schedule your arrival. This will assist in making Welcome as quick and smooth as possible.

DEPARTURE: 2:00 PM EST on Saturday

The front gate will open at 1:00 PM. Please encourage your bus company not to arrive before 1:00 PM as they will be directed to wait outside the gate until that time.

LOGISTICS & PAPERWORK

HEALTH FORMS: We will need a completed YL-6007 health and consent form (for trips longer than 72 hours) for every camper and leader, including Young Life staff.

10 DAY CALL IN: In order to ensure camp is prepared for your arrival, we ask that each Trip Leader submit a 10 Day Call In form 10 days prior to arrival. Please use the link below to access the Cognito form.

YL CONNECT CAMP ARRIVAL FORM: Young Life is requiring the exclusive use of YL Connect Camp for camp registration, as well as the YLCC Arrival Form for health form tracking and housing. YLCC allows you to manage registrations, payments, health forms, and housing on one platform.

MEDS & ELECTRONICS: Before arriving to camp, please be sure to collect and label all medications and electronics (including smart watches, iPods, etc.). We will collect these at Welcome and store them safely behind locked doors while you're at camp.

NOTE: Campers will NOT be able to keep OTC medications with them this summer. Please leave all OTC medicine at home as Windy Gap will be able to provide anything needed upon arrival.

EARLY DEPARTURES: If a camper needs to leave separately from the rest of the area, a completed Permission to Leave Camp Early form must be completed by the camper's parent/guardian.

AIRPORT SHUTTLE

If a camper or leader needs a ride to/from the AVL airport, please reach out to the Windy Gap office. We are happy to do our best to accommodate rides; however, there are certain windows of time that we are unable to provide a shuttle.

Shuttle cost: $30 each way ($60 round trip)

MISCELLANEOUS

TRIP LEADER CHANGES: If the TL or admin information needs to change, please let Emie know. We will make those changes on our end to ensure accurate and smooth communication.

CAMPING RESPONSIBLE PARTY CHANGES: All contracts will be sent to every area's camping responsible party. Unfortunately, Windy Gap cannot change an area's camping responsible party. Please reach out to your Regional Administrator if this change is needed.
