Our goal with this monthly newsletter is to communicate benefit changes and keep you up-to-date and informed on approaching deadlines.

Shared Savings Incentive Program

COVA Care, COVA HDHP, and COVA HealthAware members are eligible to participate in the Shared Savings Incentive Program. These programs offer cash rewards to members when they shop for better value health care services. Since prices for in-network, high-quality procedures can vary, Shared Savings allows you to shop for medical care, compare costs, and earn a reward as a share of the savings. Examples of procedures you can shop for include common screening exams, diagnostic tests, and surgical procedures.

COVA Care and COVA HDHP Participants:

Use SmartShopper to compare in-network prices for 100+ procedures. How does it work?

  • Compare prices and rewards by shopping online or calling the Personal Assistant Team at 844-277-8991
  • Schedule your appointment, or let the Personal Assistant team do it for you
  • Earn your reward by having your appointment within the year

COVA HealthAware Participants:

Use the Informed Rewards Program to choose a lower-cost medical service and qualify for a financial reward. How does it work?

  • Visit www.aetna.com and log into your Aetna member website Search for service in the “Find Care & Pricing” section or call the Care Concierge Team at 833-849-0567
  • Identify eligible service and activate your rewards

University Holiday - June 19 and 20

The university will be closed Thursday, June 19 (8 Hours Holiday Leave will be granted) and Friday, June 20 (4 Hours Recognition Leave will be granted) in observance of the Juneteenth holiday. Full-time employees are expected to work 28.0 hours during the Juneteenth holiday week. Any hours short of a 28.0-hour workweek should be charged to available leave. Please see the Modified Summer Schedule website for additional information.

University Holiday - July 3 and 4

The university will be closed Thursday, July 3 (8 Hours Recognition Leave will be granted) and Friday, July 4 (4 Hours Holiday Leave will be granted) in observance of the Independence Day holiday. Full-time employees are expected to work 28.0 hours during the Independence Day holiday week. Any hours short of a 28.0 hour workweek should be charged to available leave. A&P Faculty Leave Year End

The 2024-2025 A&P Faculty Leave Year will end on Monday, June 30, 2025. All outstanding A&P Faculty Leave requests for the period between July 1, 2024 and June 30, 2025 must be entered into MyMadison and approved by a supervisor by 5:00 p.m. on July 7, 2025. Though the 2025-2026 A&P Faculty Leave balance is effective July 1, 2025, and is available for use on that date, A&P faculty will not be able to view the new leave balance or enter leave requests for the New Year to MyMadison until Wednesday, July 9 due to year-end processing. Please hold on entering leave requests for the New Year until after the 9. For additional information on A&P Faculty Leave, please visit the A&P Faculty Leave Frequently Asked Questions webpage.

Mid-Year Leave Liability Reporting

In order for the university’s leave records to be as accurate as possible for the Commonwealth Leave Liability Report, it is important that all full-time employees enter all outstanding leave requests for the January 10 through June 30 time frame into MyMadison prior to June 30 for supervisor approval. Supervisors must act on their requests by Monday, July 7. This will provide a snapshot of all leave balances as of the end of the fiscal year.

Leave System Maintenance

MyMadison and Manager Self-Service for leave entry/approval will be unavailable to all employees on Tuesday, July 8, 2025, for AP Leave Year End processing. Leave entry/approval will resume as usual on Wednesday, July 9, 2025.
