Opening Routine

STEP 1: Set up the room

Upon entering the room, complete the following steps to set up the room:

  1. Locate the black computer cabinet in the room. Open the door, and you should see a computer console on the top shelf similar to the one pictured above.
  2. Ensure that the power button is ON. If it is OFF, press the button to turn on the computer.
  3. Locate the keyboard and mouse. They should be stored on TOP of the black computer cabinet. You will use these to operate the Room PC. Check the power switches on both devices to ensure they are on.

STEP 2: Locate the Crestron Control Panel

Locate a Crestron Control Panel on the wall near the door or next to a TV screen. There are usually two panels in each room that mirror each other, so you will only need to use one to set up the room.

STEP 3: Tap to Begin

You will see a screen that says "Tap to Begin" on the Crestron Control Panel. Tap anywhere on the screen to load the Room Controls and wake up the large TV screens.

STEP 4: Set up the physical space

All of the furniture in the Active Learning Spaces, except for the soft seating, is on wheels in order to allow instructors to move the tables and chairs to support the instructional methods used from day to day or from activity to activity.

Consider the activity you are setting up for your learners and rearrange the furniture as needed to support your instructional methods. For example, if you are having learners work together in small groups, then you would arrange the tables and chairs in small groups in front of each TV screen. However, if you are hosting a large group discussion, you may want to move the tables and chairs into a large circle to help support discussion.

STEP 5: Set up your technology

PBSC's Active Learning Studios can either be powered through the room computer or by casting the screen from your device to the TV screens in the room using ScreenBeam. Consider which method would work best for your content and begin setting up your technology (scroll to learn more).

NOTE: You may want to prepare your content by opening all windows for the content you will use throughout your session to ensure seamless transitions between content. You may not have access to a private screen to stage your content, so prepare before students enter by preparing your windows ahead of time!

Pre-Set scenes

Choose a Scene on the Crestron Control Panel

The Crestron Control Panel is equipped with three Pre-Set Scenes that you can choose from: Room PC Scene, Collaboration Scene, and Presentation Scene. You can choose a scene by tapping on the button corresponding to the scene you'd like to use.

Room PC Scene

Room PC Scene: This scene enables the user to operate the room as one big computer, just like your normal laptop or desktop, perfect for presentations. ALL TV screens will function as one, enabling the room computer to control them. You will use the wireless keyboard and mouse to operate the Room PC. You must log in to the computer using your PBSC Single-Sign On Credentials. The image above shows what the TV screens should reflect after selecting this scene.

NOTE: We recommend using this scene when using conducting a video call. This scene is the only scene that enables the room camera and ceiling microphones. Click here to jump to the Connected Devices instructions to walk through how to enable the appropriate connected devices.

Collaboration Scene

Collaboration Scene: (Attendees bring your own device) This scene allows multiple users to connect their personal devices to one screen each, perfect for small-group work. Each TV screen will operate independently and show the instructions to share your device's screen on ONE of the TVs. Each TV screen can present a different device's screen. The image above shows what the TV screens should reflect after selecting this scene.

NOTE: As of now, the ScreenBeam option is only compatible with Windows and Andriod devices. Your device must be connected to PAW or PAW2 in order to share your screen through ScreenBeam.

Presentation Scene

Presentation Scene: (Instructor bring your own device) This scene enables one user to connect their personal device to all TV screens, perfect for presentations. ALL TV screens will operate as one and show the Screen Beam instructions for ONE person to show their device's screen on ALL TV screens. The image above shows what the TV screens should reflect after selecting this scene.

Crestron Control Panel

The Crestron Control Panel is the smaller screen mounted to the wall. There are two Crestron Control Panels that mirror each other in each Active Learning Studio, typically located near the entrance and on the opposite side of the room.

Select Pre-Set Scene screen

Choose from one of the three scenes listed in the image above. Each scene enables the TV screens differently.

NOTE: The Room PC Scene will be automatically selected when you turn on the system.

Audio Settings Screen

Tap "Audio" at the bottom of the panel to adjust the media volume. The volume control under "Room Audio" adjusts the volume of content playing on the TV screens.

NOTE: In the Collaboration Scene, the Room Audio has only ONE input through TV 1, so audio will only play through the room speakers if it is playing through TV 1.

Camera Settings Screen

Tap "Camera" at the bottom of the Crestron Control Panel screen to adjust the position of the room cameras. There are usually two cameras in opposite corners of the room that you can choose from.

  1. Select Camera 1 or 2 based on where you are going to be standing for most of the session
  2. Tap through the preset camera options to see which setting aims the camera at you
  3. You can use the "Zoom In" and "Zoom Out" buttons to zoom the cameras to focus on whatever you want virtual participants to see
  4. You can use the arrows to adjust the cameras if the preset options don't work for you
  5. The "Privacy" button turns the cameras' positions around to face the wall behind them -- It does NOT turn the camera off

Video Settings Screen

You can customize the TV screen inputs by tapping the "Video" button. Selecting "Room PC" will enable the room PC to show on the TV screens. Selecting "Screen Share 1-4" (in some rooms, you will have five screens) will make the TV screen show the Screen Beam information. Each TV screen can be manipulated individually through this button on the Crestron Control Panel.

NOTE: Be aware that this overrides the Pre-Set Scene that you selected when you first opened the Crestron Control Panel!

Return to Pre-Set Scene Screen

To return to the Pre-Set Scene Selection Screen, tap on the button along the bottom that is highlighted blue: Audio, Camera, or Video.

Connected Devices

Ensure that the correct devices are connected to the Room PC's video calling applications. The instructions for Teams will be included below.

Teams instructions

Before entering a Teams Meeting, ensure that the correct speaker, microphone, and camera are selected in the Teams call settings:

  1. Click on the "Settings Gear" on the right of the camera window.
  2. Ensure that the speaker selected reads "Echo Cancelling Speakerphone." If it does not, click on the down arrow and select it from the drop-down menu.
  3. Ensure that the microphone selected reads "Echo Cancelling Speakerphone." If it does not, click on the down arrow and select it from the drop-down menu.
  4. Ensure that the camera selected reads "Crestron HD." If it does not, click on the down arrow and select it from the drop-down menu.

FURNITURE

All the furniture in each active learning studio is on wheels and meant to be moved and customized to support your course activities. Each image above depicts different room configurations and types of furniture that you may see in an active learning studio.

PBSC's Active Learning Studios are purposefully designed with a 360° layout, featuring large TV screens on every wall around the room. This 360° design along with the flexible seating options enhances accessibility for a variety of learners.

Dry Erase Boards

  1. Some rooms are equipped with personal dry-erase boards hung on the side of each desk. Students can use these to work through problems, show answers, etc.
  2. Some rooms are equipped with larger dry-erase boards on wheels, meant to move about the room when needed.

PORTABLE CHARGING STATIONS

These charging stations can be used anywhere in the room. They are meant to be used for mobile devices, NOT laptops. Users must bring their own charging cables. They are compatible with USB and USB-C chargers.

NOTE: When finished, please make sure to return them to the cart so they can recharge.

Closing routine

STEP 1: Log out or stop sharing

  1. If you are using the Room PC Scene, use the Ctrl + Alt + Delete keyboard shortcut and click "Sign Out."
  2. If you are using the Presentation or Collaboration Scene, click the button in the ScreenBeam toolbar at the top of your window that says "Disconnect."

Step 2: Power Off

  1. Tap the red Power button in the top left corner of the Crestron Control Panel.
  2. Then tap "System Off" to power the room down.

Step 3: Return Wireless Keyboard & Mouse

  1. Turn off the wireless mouse using the switch on the bottom, back, or sides of the device.
  2. Turn off the wireless keyboard using the switch on the bottom, back, or sides of the device
  3. Then place BOTH of the devices onto the top of the black computer cabinet to ensure the next user can find them quickly.

NOTE: Some wireless keyboards do NOT have a power switch. If you notice that the keyboard does not have a power switch, you can skip that step as the keyboard will time out on its own.

Step 4: Straighten up the space

To ensure a smooth transition for the next group using the space, take a few moments to straighten up the space. This involves rearranging tables, chairs, and mobile whiteboards to make sure that the room is organized and accessible. Specifically, make sure that no furniture is blocking the door. This not only makes it easier for the next group to enter the room, but also ensures compliance with accessibility requirements. A clear pathway from the door to the rest of the room helps maintain a welcoming and functional environment for everyone.

Tech Tips

  • OPENING TEAMS: The first time that you open Teams on the Room PC, the icon may be in a different location than you're used to. When locating Teams on the Room PC Scene, you will need to click the magnifying glass icon on the bottom left toolbar. From there, you can search "Teams", and it will pop up. You will be able to open Teams from there.
  • BLUETOOTH DEVICES: The wireless mouse, keyboard, and some other devices are connected via Bluetooth to USBs in this cabinet. To ensure strong connection, please keep the door to the computer cabinet open. Also, be aware that you may lose connection when operating from the corner opposite to the computer cabinet. If this happens, please move closer to the cabinet to reestablish connection.
  • EXTENDED DISPLAY: If you want to use your device as a private screen, on YOUR keyboard use the shortcut Windows + P to customize your displays. Click on the option that says "Extend." This will connect your device to the Room TVs, giving your more real estate. You can move windows between your device's screen and the TV screens, providing you with a private staging screen on your device.
  • ZOOM IN SHORTCUT: If you need to make something on the screen larger, you can try to use the keyboard shortcut Ctrl + to zoom in on the window. Please be aware that this shortcut doesn't work with ALL applications or ALL graphics/text. To return to the normal size, use the shortcut Ctrl -.

  1. Tap the yellow "Help" button in the top right corner of the Crestron Panel.
  2. Tap "Help Required."
  3. Tap the option that best describes your reason for needing assistance.
  4. After indicating your reason for needing assistance, the help desk's response appears here.
